Cal.com Sync

Cal.com Sync is an app that automatically syncs Cal.com bookings into Attio.

It helps your team keep meetings, appointments, and scheduled customer interactions organized in one place. When someone books a meeting through Cal.com, Cal.com Sync creates a related entry in Attio and links it to the attendee’s person record when available.

This gives sales, support, and customer success teams better visibility into scheduled interactions with contacts, prospects, and customers.

Booking updates

Cal.com Sync runs in the background and handles key booking updates automatically, including new bookings, reschedules, cancellations, and no-show changes.

Customization

You can customize field mappings and filtering options so the sync matches your team’s workflow and data requirements.

Booking events monitored

Cal.com Sync monitors these booking events in Cal.com.

• Booking created. Creates a new entry in Attio when a meeting is scheduled.
• Booking rescheduled. Updates the existing entry, or creates a new one based on your configuration.
• Booking cancelled. Marks the entry as cancelled and captures the cancellation reason when available.
• No-show updated. Tracks when an attendee does not show up to a scheduled meeting.

Booking data synced

For each booking, Cal.com Sync can capture the following information.

• Event details such as title, description, unique identifier, start time, end time, timezone, location, and meeting link.
• Attendee details such as name, email address, and timezone.
• Organizer details such as name and email address.
• Booking status such as active, pending, cancelled, rescheduled, or no-show.
• Additional context such as event type ID, booking form responses, cancellation reasons, and reschedule information.
• Metadata such as the last updated timestamp.

Person records

Cal.com Sync can automatically create person records in Attio for meeting attendees who do not already exist in your CRM. This helps keep booking records connected to the right contacts.

You can disable automatic person creation if you only want to sync bookings for people who already exist in Attio.

List management

Cal.com Sync can create a dedicated Cal.com Bookings list in Attio with the required attributes. You can also configure the app to use an existing list.

Each booking entry is linked to the related person record, making it easier to view a contact’s full meeting history.

Real-time updates

Cal.com Sync uses Cal.com webhooks to receive updates when bookings change. This keeps Attio up to date without manual refreshes or scheduled polling.

To get started, connect your Cal.com account by adding your Cal.com API key.

API key setup

• Create an API key on the Cal.com API keys page or through this link https://app.cal.com/settings/developer/api-keys
• Turn on the “Never expires” toggle so the API key remains valid.
• In Attio, go to Workspace Settings > Apps > Cal.com Sync > Connection.
• Click Connect and paste the API key you created in Cal.com.

Automatic setup

After your API key is added, Cal.com Sync automatically completes the initial setup.

• Validates your Cal.com connection by checking your account credentials.
• Sets up webhooks to receive real-time booking updates from Cal.com.
• Creates a Cal.com Bookings list in Attio with the required attributes, unless you choose an existing list.
• Configures default field mappings between Cal.com booking fields and Attio list attributes.

Customization options

You can adjust how Cal.com Sync stores and manages booking data in Attio.

• List selection. Choose an existing Attio list or use the automatically created Cal.com Bookings list.
• Field mappings. Customize how Cal.com booking fields map to Attio list attributes.
• Person creation. Enable or disable automatic creation of person records for new attendees.
• Reschedule behavior. Choose whether rescheduled bookings update existing entries or create new entries while marking the original as cancelled.
• Filtering. Use email whitelists or event type whitelists to control which bookings are synced.

Ongoing sync

Once configured, Cal.com Sync runs automatically in the background. Booking data is synced in real time as events occur in your Cal.com calendar.
